Request Time Off
Overview
Staff can view their current PTO hours banked, upcoming PTO deadlines, pending, approved, and denied requests, and submit PTO or “Time Off” requests. A few notes:
Request Deadline: The last day for PTO requests will be set by your organization.
Approval Process: Once a PTO or Time Off request has been submitted, the unit manager will receive a notification on their Vitalize platform. Your staff request will be listed as a
Pending Request
until the Unit Manager hasDenied
orApproved
itCertain, “special” Time Off requests may still need to be entered separately into payroll / HRIS. For example, some facilities may still require FMLA or military leave to be submitted separately from Vitalize. Please contact your facility to review specific leave type submission criteria (and if it should be submitted through Vitalize or elsewhere)
Understanding Request Types
Paid Time Off (PTO) uses banked PTO hours, and counts towards contractual working requirements
For example, a 0.9 FTE staff required to work 36 hours/week can be scheduled for two 12-hour shifts and one 12-hour PTO
Request Off doesn’t use PTO hours, and staff must still work shifts to meet contractual working hours that week:
For example, a 0.9 FTE staff required to work 36 hrs/week still must work three 12-hours shifts, even if they have 12-hours of Request Off approved
How to Submit a PTO vs Request Off
Go to the
Request Time Off
tabClick the
Request Time Off
buttonSelect the Request Type, either PTO or Request Off
Select the Reason for your request (optional)
Select the Start Date (date you want to request time off), and if applicable, the End Date
You can click the
Use Default Shift Time
button to apply your default shift times
Write a note to your manager (optional), and then submit the request
FAQs
Can I still be approved for PTO if I have no allocation left?
This is up to your organization’s policies. If you want to take time off without pulling the hours from the PTO bank, you can use Request Off instead
