Balancing the Schedule

Overview

This is an overview of how managers can balance their schedule on Vitalize. There is a two part video walkthrough that we recommend you watching: Video #1 (8min) and Video #2 (10min)

Schedule Setup (from Video #1)

  1. Navigate to the Manager Schedule page

  2. Ensure that the status of your Schedule says “Self Schedule Period” closed

  3. Use the filters of All, Day, and Night to configure your schedule

Tools to Help Balance (from Video #1)

  1. We recommend viewing the total # of staff and their targets. Here’s how:

  2. Click the Total # of Staff toggle

  3. Filter for the position of interest - it will show you the current staffing levels of that position in the numerator, and targetted number of staff working that day (staffing targets)

    1. You can adjust targets in the Manager Home page under Staffing Targets button

    2. This makes it very easy for you to view how many staffs are working that day. Partial shifts will also account for the staffing counts.

  4. You can also apply additional filters after you click on the Total # of Staff toggle

  5. Additionally, you can view the total # of hours, weekends, and on-calls under each of the staff’s name under the Manager Schedule

    1. If you switch to a weekly view, these numbers would reflect that weekly timeframe

  6. You can also click on the Filters button to filter by position, skillset, or other characteristics.

Balancing the Schedule (from Video #2)

We recommend you watching Video #2 to showcase ways to balance the schedule.

  1. The percentage beside each of the staff’s name indicates the Fairness score - how closely balanced the schedule is to what the staff member originally requested when they self-scheduled

    1. For example, if a staff’s self-schedule submission is identical to the balanced schedule, it would be at 100%

    2. To view the staff’s original submission, click on any shift and scroll to the bottom of the side module that shows up. Toggle on Show original shift preferences

  2. We also recommend using the keyboard shortcuts to add, cut, copy, paste, and delete shifts, and navigating the scheduling period using the arrow keys.

  3. Additionally, you can view the schedule in a compact way by clicking into the three dots, and then Compact View

  4. When you are finished balancing the schedule, click into the three dots, and then click Post Schedule. Staff members will be notified of their shift assignments via a text message.
