Overview

These are a variety of actions that you as as nurse manager may undertake when editing the schedule for your staff. Here, we describe a few of them below.

Editing Shift Types

  1. Go to the Schedule page (as a Nurse Manager)

  2. Click on shift of interest - a popup will appear

  3. Click the Edit Shift button on the popup

  4. In the side bar that appears, navigate to Shift Type and select the shift type that you would like to switch this to

  5. Upon making any change, we will autosave the changes so you don't have to

  6. The staff who's shift you change will be able to see the changes on the Vitalize staff app

Managing Call Outs

Here is a video of how staff can call out.

  1. First of all, we preface to encourage all staff to call out on Vitalize.

    1. Staff are only allowed to call out 24h before their shift, and they have to speak to the designated call out number that is assigned by your unit

  2. When the staff calls out, the shift will automatically be updated and you as the manager will receive a text message notification describing the call out

  3. The manager schedule will show a red, call-out icon. The Total # of Staff member count will also change.

    1. Clicking in to the call out shift will show additional information describing the specific call out reason

  4. If you click into the staff’s profile, you can view the Call Out History, which lists the shift and the reason

    1. We also log late call outs for call outs that happen within 2hrs of their shift

  5. To change a staff member’s shift to a call out (in the case that the staff did not do so), just navigate to the Manager Schedule page, and edit the Shift Type to Call Out

    1. To undo an accidental call out shift, you have to delete the shift and recreate it

How to Print Schedules

Here is a video example of how to print your schedule on Vitalize.

  1. Go to the Manager Schedule page

  2. Toggle to your schedule of choice, whether it’s the Scheduling period, Weekly Schedule (by clicking into the week header), or daily Schedule (by clicking into the day)

    1. If you want to print a list view of the weekly schedule, enter the Weekly schedule view, and ensure to click List view option on the top right of the calendar

  3. Once you are in your preferred schedule, click on the shift time filter of All, Day, Midor Night

  4. Click on the three dots

  5. Click Print Shift Schedule. You can choose to print for a single day or multiple days.

  6. Our printout will show the following:

    1. Name of staff

    2. Shift type

    3. Time of shift

    4. Additional details

  7. To customize your print out settings (eg. to view in 8/4/4/8 schedule), click the Total # of Staff button, then More Options, and customize your Time Span

How to Float Staff

Here is a video example of how you can float and flex your staff.

  1. Go to the Manager Schedule page

  2. Right click on the shift of interest

  3. In the side module that appears, scroll to the bottom of the page and click Float

  4. Specify the details as prompted, and then click the Float unit to confirm

  5. Staffing levels will update in the schedule, and the shift type will change to Floated Out

  6. To make changes to that float, right click on the shift of interest, and you can Cancel Float or Change Float

How to Flex Staff

Here is a video example of how you can float and flex your staff.

  1. Go to the Manager Schedule page

  2. Right click on the shift of interest

  3. In the side module that appears, scroll to the bottom of the page and click Flex

  4. Select an option that applies

    1. Send home low census - send staff home

    2. Place on call - place the staff on call for the whole shift

    3. Shift adjustment + send home - change the shift time, and then send the staff home for the remainder of the shift

    4. Shift adjustment + on call - change the shift time, and place the staff on call for the remainder of the shift

  5. To notify the staff member, toggle on the Notify button
