Floating and Flexing Staff

Overview

This is an overview of floating and flexing staff members, and viewing all of the historical staffing logs. This is an overview video describing how to do this, with instructions below for various topics.

How to select which Staff to float

  1. Navigate to the Manage Staffing page.

  2. After customizing your settings in View Settings, you will be able to see your intended units and time spans in Manage Staffing

  3. You can view the haves and needs of any unit via the Manage Staffing page

  4. To float or flex any staff, we recommend clicking into an overstaffed position

  5. Once you click into that position, click into the staff that you would like to Float or Flex

How to Float staff

  1. After selecting which staff you would like to float, click the Float button

  2. A side module will pop up describing the date, the default shift time of the staffer, and where the staffer is floating from

  3. Select where the staffer will be floated to by selecting the cost center under the Select Cost Center dropdown

  4. Then, select what the staff will be working as by clicking the Working As dropdown

  5. Confirm the float by clicking the Float button

  6. This will automatically remove the staff from the unit they were initially with, and then add the staff to the unit that you floated them to.

  7. The staff will also get a text message notification informing them that they were floated.

How to Flex staff

  1. After selecting which staff you would like to flex, click the Flex button

  2. A side module will pop up showing the date

  3. Select the Type of Flex in the dropdown below

    1. Shift Adjustment + Place On-Call - adjust the shift and place them on call for the remainder of the shift

    2. Place On-Call - place the staff on-call for the full shift

    3. Shift Adjustment - adjust the shift time to be longer or shorter

    4. Send Home - Low Census - send someone home and place them on PTO or on-call status

  4. If needed, customize the flex time (if placing the staff on call)

  5. You can write a note (optional) to document your steps

  6. Confirm the flex by clicking the Flex button

  7. This will automatically remove the staff from the unit they were initially with and flex the staff

  8. If the staff was placed on call, the On-Call button in that unit (in the view in Manage Staffing will show the staff placed on call. Click the On-Call button to view what staff is currently placed on call and for what time duration.

  9. The staff will also get a text message notification informing them that they were flexed

How to Call in Staff

Here is a video explaining how you can call in staff.

  1. Navigate to the Manage Staffing page.

  2. After customizing your settings in View Settings, you will be able to see your intended units and time spans in Manage Staffing

  3. Find the unit you are interested in. You can see an On Call button that shows you how many staff are on call that day. By clicking into that button, you can see the exact staff that are on call.

  4. To call a staff in, click on the position within the unit that you would like to call the staff in for

  5. Navigate to the header called On Call

  6. Click on the staff’s name, and then click the Call in button to call the staff in

  7. The position counts will update and the staff will be notified by text

How to Call in, Float, and Flex Staff

We understand that you will sometimes have to do a complicated series of multiple floats of a staff at any given point. Here’s a video example of how can call in a staff, float the staff out, and then float staff back to home unit.

Viewing the Staff Log

  1. Navigate to the Manage Staffing page.

  2. Click the Staff Log button on the top right of the page

  3. You are now able to view Floats, Flexes, Working As, Staff Notes, and Census (all they are all headers)

  4. You are able to view the staff, the units, and the float/flex details and who made those changes
